A) create user roles and
If you don't want all of your Docue account users to have the same rights to see and edit documents in the service, we recommend restricting rights by creating different user roles.
You are able to restrict document visibility for users by editing user roles. This means that not all created documents are visible to everyone. Even if the visibility is limited, all users have access to the documents they create themselves.
The right to draft documents can be set per user, no matter the person's user role. Admins can manage users and permissions in settings.
A) Creating user roles
1. Go to "Roles" and press "Add role" in settings.
2. Name the role as you wish and choose which folders or/and folder groups you want the role to be able to see and manage. In this view you can also edit, delete, and add folders if needed. Once you're done editing, click "Save".
Keep in mind, that the person who has created a document has always access to it, even if the documents visibility has been limited to certain roles.
Note! A user has to have access to all of the folders a document has been archived into for the document to be visible for them.
3. The role is now complete! You can now assign your new role to users by choosing "Roles". Click a users name and pick the role from the menu.
While you're at it, you can decide if the user is allowed drafting permission in the service. If the user isn't authorized with drafting permission, the "Create document" feature is disabled, but the user still has access to the e-sign feature and archive.
When you invite a new user, you will be able to assign the role the user should have and whether they should have drafting permission.
B) Setting permissions for users
1. Go to "Users" in "Settings" and choose a user, whose rights you would like to edit. If your account has lots of users, you can use the search bar to locate the user you're looking for.
2. Assign the desired role.
